MINUTES OF COMMITTEE MEETING 16th OCTOBER 2016

CHRISTMAS MEAL & AWARDS EVENING
The feedback is that at £18 this is good value. The event will continue to be promoted the deadline for payment is November 18th. Request for raffle prizes need to be made to members.
The new calendar was discussed including a two day event in August at Mosey Low costing £30 for both days.Competitors can compete in either day for £20 entry fee. The Sunday will be the championship round. Trials with the exception of July 23rd will be on the third Sunday to accommodate P&D members joining us and vice versa. TYRO events will be held at six of the trials. Members of the committee will contact the various land owners to confirm their sites is available.
This year’s event wasn’t financially viable and so will not be held next year.
It was agreed there would be a £5 charge per unit per night next year.
TRIAL / TYRO CHARGES
It was agreed the cost for a trial would remain at £20 the cost of entering a TYRO event will be £10 next year.
There will be a Neil Claxton Memorial shield presented to the trial winner at the annual Christmas presentation evening. This will be for the November trial annually. The shield will be awarded to BAD members only to keep the shield within the club. The shield will have ten smaller shields so that it can reflect the winners over a ten year period. Trophies will continue to be awarded as; up to five entrants – one trophy, 5-8 entrants – two trophies, 9 or more entrants – three trophies. The trophies will be awarded regardless of the winner’s club. Guest drivers will need to collect their trophy at the next trial or the trophy will be re-cycled.
It was agreed 8 out of ten rounds will count next year.
We will allocate two members to set out at each trial – with two motors. The flags are becoming brittle we are going to try a glass fibre version on a couple of sections.
We have some outstanding expenditure to settle and whilst our income this year has remained fairly static we are still hoping to break even. That would still leave a good working balance in both the current and deposit accounts.
Ltd COMPANY STATUS
There are costs, approximately £400, incurred plus the legal responsibilities placed on the current directors. The general consensus of the Committee was to dissolve the Ltd. Status of the Club. This would move us in line with other local Clubs who do not have Limited status. Richard will draft a letter to members seeking their support in vote on the issue.
DM has spoken to MT who is still more than happy to maintain the site. DM and RM are going to visit MT to discuss the way forward. The Committee recognised the changing nature of the site and all the hard work that MT was doing.
SAFE GUARDING POLICY
Further discussion to take place with MT.
The next AGM will be held at The Bull in Thorn on SUNDAY FEBRUARY 5th at 3.00
